1. Introduction
The Trust is currently in the process of replacing its grant management systems with a single integrated web-based system that will handle the grant application and management process from start to finish.
This newsletter provides a general introduction to the new system, which is planned to go live towards the end of 2007, and outlines what the changes mean for you.
2. Why are we introducing a new system?
The new system will be modern, fast and simple to use. Building on the success of eGrants, our online application system, the new system will provide external users with enhanced functionality including:
- a simple interface for interactions with the Trust
- automated updates of application status, so that you can easily monitor the progress of your application
- clearer guidance for applicants through the whole application and post-award procedures
- an area for the management of current grants
- improved evaluation of research and activities funded by the Trust.
3. What will change?
The web-based portal
The primary interface that you will have with the Trust will be a web-based portal. The portal will give you access to:
- application forms (similar to eGrants with enhanced functionality)
- preliminary application forms
- final report forms
- referee report forms
- committee papers (for committee members)
- ad hoc correspondence.
Profile payments
When we introduce the new system we will also replace our current system of paying grants monies by means of claims with profile-based payments. University and institutional administrators will be contacted separately with details of how this will be implemented.
4. Staff contact
The new system is designed to enhance the service we provide to our grantholders, and we are testing it with users at each stage of its development. However, it is not intended to replace the individual contact that you value so highly. Staff at the Trust will always be available if you need to speak to someone in person.
5. When will the new system be implemented?
The new system is planned to go live in the last quarter of 2007.
6. What will happen next?
We will contact you with further information when specific actions are required. Updates will also be available on our website in the coming weeks.
7. Who to contact for further information
If you have a query relating to the new system, please email Lynne Bennett - thegrantsystem@wellcome.ac.uk - or telephone +44 (0)20 7611 8697.
